Cancellation Policy

Appointment and Cancellation Policy

Aesthetically Kind & No.29

Your appointment is time reserved especially for you. To help us care for all our clients and respect our practitioners’ time, the following policy applies at both Aesthetically Kind and No.29.

Booking deposits

A deposit may be required to secure your appointment. The amount will be clearly explained before you book and will be deducted from your appointment total.

Any separate consultation fee will also be explained at booking.

Cancelling or moving your appointment

Please give us at least 48 hours’ notice if you need to cancel or reschedule.

With at least 48 hours’ notice, your booking deposit can be transferred to a new appointment or refunded if you choose to cancel. Payments for prepaid appointments will remain available for rebooking, subject to your statutory refund rights and the course or package terms provided before purchase.

Notice is measured from your appointment start time. For example, a Monday appointment at 10am must be cancelled by Saturday at 10am.

Late cancellations and missed appointments

If you cancel or reschedule with less than 48 hours’ notice, or do not attend:

  • Where a deposit has been paid: we may retain some or all of your deposit.
  • Where no deposit has been taken: a cancellation charge of 20% of the agreed treatment price may apply.
  • Where treatment has been prepaid: we may deduct 20% of the booked treatment’s value from your prepaid balance. The remaining balance will remain available towards your treatment.

For discounted courses or packages, the charge is calculated using the price paid for the individual session, rather than its full standalone price. The session values will be explained before purchase.

These are alternative charges and will not be added together. Any amount retained or charged will be limited to the reasonable loss caused, taking account of costs saved and whether we refill your appointment. We will reduce, waive or refund the charge where appropriate.

We will explain any charge and how it has been calculated. A new deposit may be required to secure another appointment.

Arriving late

Please let us know as soon as possible if you are running late. We will do our best to accommodate you, but we may need to shorten or reschedule your appointment to protect treatment safety and avoid delaying other clients.

If your appointment cannot safely proceed, the late-cancellation terms above may apply.

Illness and unexpected circumstances

We understand that illness and emergencies happen. Please contact us as soon as possible so we can discuss your circumstances. We may waive or reduce a cancellation charge where appropriate.

Please do not attend if you are unwell or have a potentially infectious condition. Your safety and the wellbeing of our clients and team come first.

Prepaid courses and packages

The same 48-hour notice period applies to appointments within a prepaid course or package.

For late cancellations or missed appointments, the 20% charge described above may apply to the booked session. We will not deduct the full session value or cancel your entire package solely because you miss an appointment.

Any deduction and the remaining balance will be confirmed to you.

If treatment is unsuitable

Treatment is always subject to assessment and your informed consent. If our practitioner decides that treatment is unsuitable, any deposit or prepayment for that treatment will be refunded. Where this affects the remainder of a course, we will discuss suitable alternatives or refund the unused treatment balance.

A separately agreed consultation fee may still apply where the consultation has taken place.

If we need to cancel

If we need to cancel your appointment, we will contact you as soon as possible. You may choose to transfer your deposit or prepayment to another appointment or receive a full refund for the cancelled service.

How to contact us

Please use the cancellation link in your booking confirmation, where available, or contact the clinic using the telephone number or email address shown in your confirmation.

For written cancellations, we use the time your message is received, including outside opening hours. Please avoid cancelling through social media, as messages may not be seen promptly.

Appointment reminders

Reminders are a courtesy. Please keep a record of your appointment, as this policy still applies if a reminder is not received.

This policy, including any applicable charges, will be provided before your booking is confirmed or payment is taken. Nothing in it limits your statutory rights, including any applicable cooling-off or cancellation rights.

Thank you for helping us keep appointments available and provide thoughtful, personalised care.
